Client Brief
How to set up your Hadirmu QR code on the day, so guests can start taking photos right away.
Your event is set up in Hadirmu. Four preparation steps are left, so guests can use the digital disposable camera on the day without any confusion.

Prepare the equipment
So the QR code is easy to find from every corner of the room, prepare:
- 3–5 standing signsAsk the venue or decorator to provide standing frames or poster stands.
- A3 or A4 QR code postersPrint your event's QR code on art carton paper, sized to fit the standing signs.
- One poster per signPrepare 3–5 copies, so they can be spread around the venue.

Place them where guests gather
Put the standing signs where guests stop or queue, so the QR code is always seen.
- Registration deskWhen guests arrive, sign the guest book, and pick up souvenirs.
- Photobooth queueWhile guests wait for their turn.
- Ballroom entranceThe main path every guest walks through.
- F&B, bar, or VIP tablesWhere guests sit back and enjoy the food.
Show it on the LED screen too
Hand the QR code file to the venue's multimedia operator at the technical meeting (TM), in landscape or portrait to match the screen.

Brief the WO and ushers
Guests join in most when they're invited in person. Ask the WO team and ushers to do these two things.
Invite guests warmly
When welcoming guests at registration or managing the photobooth queue.
Feel free to scan the QR code next to you to capture today's fun moments. Your photos go straight to the digital gallery.
Explain how it works

Brief the MC
Ask the MC to remind guests a few times throughout the event.
- Soft openingAs guests start entering the ballroom.
- Grand openingAt the start of the event.
- Between segmentsFor example during dinner or mingling.
Script for the MC
“Ladies and gentlemen, don't forget to capture tonight's fun moments with our digital camera! It's easy: scan the QR code on the LED screen or the standing banners around the venue, enter your name, and start shooting!”
